Amounts are in US dollars. Net 15, Net 30, and Net 60 add that many calendar days to the invoice date. The template does not add sales tax or retainage: tax rules for construction labor and materials differ by state, so check with your state revenue department, and hold retainage only when your contract sets it. Dates in the QBO file are day/month/year. Check that your QuickBooks Online import reads them in that order. You can also start from a spreadsheet: download a sample QuickBooks CSV.

How to fill out a construction invoice

A construction invoice asks the client to pay for work done or materials bought. It names who bills whom, for which project, how much, and by when. This template lays that out on one letter-size page that a homeowner can read in a minute. When you bill every month, Buildplus construction invoicing turns project expenses into client invoices and takes payment online.

Formula and worked example

1Project managementLabor$1,850.00
2Kitchen cabinet depositMaterials$6,240.00
3Electrical rough-inLabor and materials$3,125.00
4Amount dueThe sum of the line items$1,850.00 + $6,240.00 + $3,125.00 =$11,215.00

How it works

Type over the example values. Each line item has a description, a category such as Labor or Materials, and an amount. The amount due is the sum of the line items, and it updates as you type. Pick payment terms and the due date moves to match. Your draft saves in this browser, so you can close the page and come back to it.

When to use it

Use it for a fixed-price job, a deposit, a progress payment you bill by phase, or a small repair. If you bill actual cost plus a fee, use the cost-plus invoice template, which keeps the fee math and credits for you. If the lender or owner asks for a schedule of values, use the pay application generator. Bill a change in scope only after the client signs a change order.

Common mistakes

One line that says "Work to date" with one number. Clients pay faster when they can see what each dollar is for. Other mistakes: no invoice number, so payments are hard to match; no due date; a client name that does not match the contract; and payment details that leave out how to pay you.

Before Buildplus I would have to send my subcontractors multiple payments spread out over a couple of days to avoid hitting electronic transfer limits.

Now I can send one payment and be done. That convenience combined with the fact that payments are automatically tracked back to the right subcontract makes Buildplus a very elegant solution.

FAQs

What should a construction invoice include?

Your business name and contact, the client name, the project address, an invoice number, the invoice date, the due date, line items with amounts, the total due, and how to pay. Add a note for anything the client should know, such as a change order the invoice covers.

How do I import the invoice into QuickBooks Online?

Download QBO, then in QuickBooks Online open the import tool for invoices and upload the file. Each line item becomes an invoice line, and the category becomes the product or service. QuickBooks invoice import does not accept negative lines, so take any discount off a positive line before you export.

Is my invoice saved, and who can see it?

Your draft saves in this browser on this device. It is not sent to Buildplus and it is not in the page link. The first download asks for your contact details. Download the PDF to keep a copy with the project file.

Should I add sales tax to a construction invoice?

It depends on your state and the type of work. Some states tax materials, some tax labor on repairs, and some tax neither on new construction. This template does not add tax. If you must charge it, add it as its own line and confirm the rate with your state revenue department.

Can I add my logo?

Yes. Add a PNG, JPG, or SVG logo in the invoice header. It shows on the page and in the PDF. If the logo cannot load, the PDF downloads without it and tells you so.
